Deploy App to a Network

I am getting ready to launch a program that will need to be accessed by various individuals in different departments in my hospital. Because the app is database centered it needs to centralized. So my question is how to best go about this?
My initial idea is to save the program, including the .mat files (I'm using mat files as my database storage) on a common network location. Then users can add a shortcut to this excecutable. My other thought is to allow users to load the program directly to their desktop and have the mat files on the network. My issue with this is I'm not sure how to tell the software where the database files are.
Any help would be appreciated. Thanks.
